Preparing a Refrigerated Freight Request

Temperature-sensitive cargo needs clear instructions before dispatch. Use this checklist to prepare the information for an equipment and transportation review.

Updated October 29, 2026

Refrigerated transportation is a shipment-specific task. A trailer equipped for temperature control is only one part of the plan; product condition, loading instructions, packaging and delivery arrangements also matter. The shipper's written requirements should guide the discussion before a refrigerated load is accepted.

Describe the cargo and its required conditions

Identify the commodity, packaging, pallet count, total weight and piece dimensions. State the required temperature or permitted range and specify whether the values are in Fahrenheit or Celsius. Include instructions about operating mode, segregation, airflow, monitoring records or other product-specific needs.

If the shipment requires particular equipment, sanitation, security or facility procedures, disclose them at the quote stage. A general refrigerated service description should not be treated as confirmation that every specialized commodity can be accepted.

Confirm product and equipment preparation

Clarify the required product condition at loading and the instructions for preparing the trailer. Do not assume that a transport refrigeration unit will cool a warm product to its required shipping condition during the journey. The shipping team should define how the load will be checked and what information is recorded before departure.

Discuss packaging and loading arrangements that may affect air circulation or temperature management. Any discrepancy between the actual load and the written request should be resolved with the responsible parties before the movement begins.

Plan appointments and communication

Loading delays and repeated door openings can affect a temperature-controlled operation. Share the planned stop sequence and handling arrangements so they can be reviewed with the rest of the transportation request.

Review the agreement before booking

Make sure the agreed cargo, equipment, temperature instructions, schedule and responsibilities reflect the actual shipment. Ask which records or communications are included and clarify any additional requirements before dispatch. This checklist is a planning aid; it does not replace the product owner's handling instructions or the specific requirements of the shipment.
